POLICY REMINDERS

Early Teardown - AVOID FINES
Early booth breakdown is strictly prohibited. Due to an increase in complaints from retailers and exhibitors, Outdoor Retailer is committed to eliminating these practices from the show floor on the final day of the show.
 
An exhibitor is in violation of early breakdown if they start to break down their booth, remove product from their shelves, box up product and/or are unable to conduct business in their booth prior to 3:00 p.m. on Saturday, August 8, 2015. Show Management will have teams walking the show floor the last day to enforce compliance of this policy. If your booth is breaking down EARLY, we will take photographs and your company will receive a notification of the violation within 30 days post show. The fine is $500. This policy will be strictly enforced at Summer Market 2015 and all subsequent shows. Note that the violation fines will be as follows: $500/first time violations. $1000 fine for any next show violation, and third time violations will forfeit their booth placement at subsequent shows in addition to the fine(s).  
 
Companies in violation of this policy are jeopardizing their booth location for future shows and the fine must be paid prior to being able to reserve space in subsequent shows. Please keep this in mind when making staffing decisions and travel arrangements for the final day of the show.
 
If your booth is unmanned or completely disassembled, we will take a photograph of your booth and send you a fine in the mail.
 
This early teardown policy supersedes any conflicting language in the terms and conditions to the exhibit space contract including but not limited to the terms and conditions stated therein in item number 12, and is a valid and enforceable amendment to the exhibit space contract. By exhibiting at the Event, you hereby agree to this early teardown policy.


Hanging Sign Rules & Regulations 
The following regulations took effect on January 1, 2014:
OVERHEAD SIGNAGE    (2010 NFPA 13.8.5.5.3-3.1.)
  • Overhead signs shall be mounted at least 18” below the deflector of any fire sprinkler; and
  • Overhead signs shall not contain any horizontal element that is greater than 4 ft. (48”) wide in the least horizontal dimension.
  • The limitations above include the use of any material in a horizontal element of overhead signage, including open grating or mesh material.
All new overhead signs put into service after January 31, 2014 must comply with regulations identified above. All non-compliant new overhead signs will be subject to immediate removal.

Existing, non-compliant overhead signs that were put into service prior to January 31, 2014 may continue to be used if the exhibitor makes prior arrangements and pays a $1,200.00 fee to SPCC per event. Please contact Adam Small at (385) 468-2204 or adam.s@saltpalace.com for further information. 


Move-in 
Due to the volume of display crates and the limited aisle space available during set-up of the show, a Clean Floor policy will be enforced at Outdoor Retailer Summer Market 2017.

Please review the following regulations:

Sunday, July 23, 2017
  • 8 a.m. - 5 p.m.: 20x20 booths or larger may move-in at this time
Monday, July 24, 2017
  • 1 p.m. - 6 p.m.: Apply "Empty" stickers to all crates, cartons or fiber cases that are ready for removal.
Tuesday, July 25, 2017
  • 1 p.m.:  Accessible Storage items must have a work order submitted for pick-up and be labeled for removal.
  • 6 p.m.: Crates, cartons, fiber cases and packing material must be empty and labeled with "Empty" stickers for storage.
  • 8 p.m.: All aisles must be 100 percent clear of product or any other items that may impede Freeman installing aisle carpet. Any items in the aisles after 8:00 p.m. will be removed from the aisles and placed in empty storage.

Booths that are 900 square feet and larger have until 12 p.m., Monday, July 31, 2017 to complete their move-out.  Please refer to the Move-in, Move-out map within the Exhibitor Service Manual for more details.

LEAD RETRIEVAL

Maximize the return on your tradeshow investment.  Don’t lose critical sales leads since not everyone carries business cards.  Everyone will have a badge with a barcode on it.  Scan attendee’s badges and build your own electronic database of prospective buyers while capturing valuable demographic information of everyone who visits your booth.  Contact Experient:

Outdoor Retailer Logo Use

As you announce your presence at Outdoor Retailer to your audience, you may utilize the name and logo of the show in your marketing materials solely and directly in connection with exhibiting at the show. However, under no circumstances may you ever modify in any way the name, logo, or other trademarks of the show.

Please refer to the terms and conditions attached to your Exhibit Space Contract for more detail and contact Show Management with questions regarding your authorized use of the show’s trademarks.
